Keep your agents, prompts, and settings safe with our backup and restore feature. Export your data and restore it anytime on any device.
What Gets Backed Up?
When you create a backup, the following data is included:
- All your custom agents (names, avatars, system prompts, assigned data)
- All your custom prompts (names, icons, instructions, visibility)
- Extension settings (default providers, preferences)
- Training data metadata (file names, status, assignments)
- Prompt visibility settings (which prompts are hidden/shown)
Note: API keys and actual training file contents are NOT included for security reasons.
How to Create a Backup
Step 1: Open Backup Settings
- Click the BaseReply icon in your browser toolbar
- Go to Settings
- Click on Backup & Restore in the sidebar
Step 2: Export Your Data
- Click the “Export Backup” button
- You have 4 option Full Backup, Agents only, Training Data Only, Settings Only
- A JSON file will be created and downloaded automatically
- File name format:
basereply-backup-YYYY-MM-DD.json
- Save this file in a safe location
Step 3: Store Your Backup Safely
Recommended storage locations:
- Cloud storage (Google Drive, Dropbox, OneDrive)
- External hard drive or USB drive
- Password manager (if it supports file storage)
- Local computer in a dedicated backup folder
How to Restore from Backup
Step 1: Open Restore Settings
- Go to Settings → Backup & Restore
- Find the “Import Backup” section
Step 2: Select Your Backup File
- Click “Choose File” or drag and drop your backup file
- Select your
basereply-backup-YYYY-MM-DD.json file
- The system will analyze the file and show you what’s inside
Step 3: Preview Backup Contents
You’ll see a preview showing:
- Number of agents in backup
- Number of custom prompts
- Training data files referenced
- Backup creation date
Step 4: Confirm and Restore
- Review your selection
- Click “Import Backup”
- Wait for the process to complete
- Success message will appear when done!

Important Notes
What’s NOT Backed Up
- API Keys – You must re-enter these after restore
- Training file contents – Only metadata is saved, you’ll need to re-upload and train files
- Vector embeddings – Stored locally in browser, not in backup
- Chat history – Conversations are not included
After Restoring
You’ll need to:
- Re-enter your AI provider API keys
- Re-upload training files
- Re-train the files
- Verify agent assignments are correct
Backup File Security
- Backup files contain your agent configurations and prompts
- Store them securely like any important document
- Don’t share backup files publicly
- API keys are NOT in the backup, so it’s safer to share with trusted team members
Troubleshooting
Backup Won’t Download
- Check browser’s download settings
- Allow downloads from BaseReply extension
- Try a different browser
- Check Downloads folder – it may have already downloaded
Restore Failed
- Verify the backup file is not corrupted
- Check file format is .json
- Don’t edit the backup file manually
- Try re-downloading the backup
Best Practices
- Backup regularly – Set a schedule (weekly or monthly)
- Name files clearly – Include date and purpose in filename
- Multiple locations – Store backups in 2-3 different places
- Test restores – Occasionally test that your backups work
- Before big changes – Always backup before experimenting
- Keep old backups – Don’t delete old backups immediately
- Document API keys separately – Keep API keys in password manager
